Understanding and analyzing the Team Insights

The Team Insights page helps you understand how your team is using Apostle. It gives you a clear overview of activity, shares, and areas where your brand ambassador program can improve.

This article explains how to use the Team Insights page, including how to filter data and interpret key statistics.

Analyzing Team Insights

Filters help you focus on specific data, like activity during a certain time period or performance within a particular group. You can apply multiple filters at once to customize your view.

You can filter by:

  • Time and Date: Use the calendar or preset ranges to view data from a specific time period.

  • Groups: Filter by brand ambassador groups to compare performance across teams.

  • Topic: View posts that are linked to a specific content strategy topic.

  • Post Types: Choose from texts, images, videos, links, stories, or documents.

  • Owner: Filter posts based on which admin created or scheduled them.

⚠️ Important: Filters are based on posts. For example, using the Topic filter shows only posts tagged with that topic. It doesn’t include ambassadors linked to that topic.

💡Tip: You can turn on advanced filtering to combine multiple filters using AND or OR logic. Just toggle the Enable advanced filtering switch. Want to work with your data outside Apostle? You can also export all Post Insights to Excel for custom reporting or deeper analysis.


General Team Insights Overview

The top section of the Team Insights page shows an overall view of your team’s activity. Here’s what you’ll find:

  • Users: The total number of users (both Masters and Ambassadors) in your Apostle team.

  • Pages: The total number of business pages connected to Apostle.

  • Activity: The percentage of users who shared at least one post during the selected time period.

  • Activity Chart: Visual representation of team sharing activity. It shows how many users shared nothing, one post, or more than one post, with colors indicating your team’s overall engagement level.

  • Top 3 Most Active Users: Highlights your three most active ambassadors based on leaderboard points or number of shares. Use the dropdown filter to switch between these two criteria.


Share Ratio Users

Share ratio shows how many suggested posts were actually shared by your team members. It’s a key metric that helps you understand team performance.

  • A higher share ratio means more suggested posts are being shared.

  • A lower share ratio might show that some team members are not as active.

This section includes a table and pie chart that divide share ratios into five categories, so you can see which ones are most common in your team.

💡Tip: You can filter by share ratio in the Member Overview tab below. We recommend re-engaging members with low share ratios and encouraging or rewarding those with high ratios.


Member Overview

The Member Overview section shows how each individual team member is performing. This view helps you spot who’s actively sharing content and who might need more support or encouragement.


You’ll find key data points (KPIs) for each member, including their share activity, engagement, and login behavior. Here's what each column in the table means:

  • Suggestions: Number of posts suggested to each member by an admin.

  • Shares: Total number of shares, including posts shared to multiple platforms. E.g. if a user shares the same post to both LinkedIn and Facebook, this counts as 2 shares.

  • Share Ratio: The percentage of shares compared to the total number of suggestions. This percentage can go over 100% if someone shares the same post on more than one platform (e.g. LinkedIn, Facebook, Instagram, or X).

  • Inputs: Total number of work-related photos, videos, or text submissions the member has added to the Inspiration Wall.

  • Last Seen: The last time a team member logged into Apostle. Sharing a post also counts as logging in.

  • Last Suggestion: The most recent date a post was suggested to this member by an admin.

  • Last Share: The date the member last shared a post.

💡Tip: For more detailed engagement metrics such as likes, comments, reposts, and clicks, switch to the Engagement tab at the top right of the table. You can also use the sorting filters to highlight your most engaging ambassadors and see which of their posts performed best.


Business Page Performance

While the previous sections focus on individual team members, this part of the Team Insights page gives you an overview of how your connected Business Pages are performing. These insights help you understand which company pages are the most active, which need attention, and how your suggested content is being shared on an organizational level.

You’ll find similar metrics here as in the Member Overview, but they’re adapted to reflect page-level activity.

Top 3 Pages

This section highlights the three best-performing Business Pages, based on either leaderboard points or number of shares. Use the dropdown filter to switch between performance metrics.

Share Ratio Pages

This part shows the share ratio for your Business Pages—how often suggested posts are actually shared by the pages they're assigned to.

  • A higher ratio means the page is actively participating.

  • A lower ratio may indicate a need for content adjustments or more admin support.

As with team members, the data is visualized in both a table and a pie chart, using the same five-category range for share ratios.

Pages Overview

This table provides key statistics for each connected Business Page:

  • Suggestions: Number of posts that were suggested to the page.

  • Shares: Number of times the page shared a suggested post.

  • Share Ratio: The percentage of shares compared to the total number of suggestions.

  • Last Suggestion: The date the page last received a suggested post.

  • Last Share: The date the page last shared a post.

💡Tip: Use sorting filters to find your most and least active pages. For engagement data like likes, comments, and clicks, switch to the Engagement tab at the top right of the table.


Using the Members and Pages drilldown

For more detailed insights, you can click on any Member or Business Page in the overview tables. This opens a new screen with a full performance summary for the selected person or page.


The drilldown view includes:

  • Total performance stats for the selected member or page

  • Linked Groups or Topics

  • A list of posts that were suggested to them

  • Post-by-post performance details, including engagement metrics

This overview is especially useful if you want to evaluate performance at an individual level or create targeted reports.

💡Tip: Use the drilldown when you need to prepare progress updates, internal reports, or personalized feedback for specific team members or pages.


Group performance

In Apostle, both Members and Business Pages can be organized into Groups. This allows you to compare activity across different teams, departments, or regions.

The Groups table provides key performance metrics per group, including:

  • Members: Number of users in the group

  • Pages: Number of business pages linked to the group

  • Posts: Total number of posts related to the group

  • Suggestions: Number of suggested posts sent to the group

  • Shares: Total shares made by group members or pages

  • Share Ratio: The percentage of suggestions that were actually shared

This view helps you spot which groups are highly engaged and which might need support or reactivation strategies. Use groups to represent company departments, regions, or countries. This makes it easier to track and improve performance on a team level.

⚠️Important: If a user is part of multiple groups, any post suggested to them will count once per group. This means a single suggestion could be counted twice or more in the table. For the most accurate group analysis, we recommend assigning each user to only one group.

Groups: Suggestions vs Shares

This graph gives a visual comparison of the number of suggested posts and the number of shares across all your groups. It helps you quickly identify where engagement is high and where improvements can be made.

The Team Insights page gives you a detailed understanding of how your team is using Apostle. From general activity and share ratios to group performance and individual drilldowns, this data helps you track progress, spot opportunities for improvement, and strengthen your brand ambassador program.
