How to Archive, Restore and Permanently Delete Users, Posts and Inputs

Learn how to archive, restore and permanently delete users, posts and inputs in Apostle

When you delete users, posts and inputs they are not immediately removed from Apostle but are first moved to an archived state. This feature, known as soft deletes, allows for better control over user and post management by giving admins the ability to archive, restore or permanently delete data as needed.

How to Archive a User:

  1. Navigate to Members

  2. Delete the user with the Bin icon

  3. Click Yes in the warning pop-up

  4. The user is now in the Archived members tab

How to Archive a Post:

  1. Navigate to the Post & planning

  2. Delete the post with the Bin icon

  3. Click Yes in the warning pop-up

  4. The post is now archived in the Bin tab

How to Archive an Input (Upload):

  1. Navigate to the Inspiration wall

  2. Delete the input with the Bin icon

  3. Click Yes in the warning pop-up

  4. The input is now archived in the Archived tab

What Happens When a User, Post or Input is Archived?

  • Users: when a user is archived, their account becomes locked, meaning they can no longer access the platform or mobile app. However, all data associated with their account is preserved in the archive.

  • Posts: archived posts are hidden from the Post & planning overview but remain stored in the Bin tab in the Post & planning.

  • Inputs: archived inputs are hidden from the Inspiration wall but are stored in the Archived tab.

How to Restore Archived Users and Posts

Restoring a user or post will reactivate them, making the user’s account or the post visible and functional again.

  1. Navigate to Members, Post & planning or Inspiration wall

  2. Click on the Archived members tab, Bin tab or Archived tab

  3. Click on the Restore icon

  4. Click Yes in the warning pop-up

  5. The user, post or input is now restored

How to Permanently Delete Users, Posts and Inputs

Permanently deleting a user, post or input from the archive will completely remove all associated data from the system. This action is irreversible and all associated data is deleted.

  1. Navigate to Members, Post & planning or Inspiration wall

  2. Click on the Archived members tab, Bin tab or Archived tab

  3. Click on the Delete icon

  4. Click Yes in the warning pop-up

  5. The user, post or input is now permanently deleted

Important: Permanently deleting users, posts and inputs is irreversible. After permanently deleting a user, post or input, all associated data will be permanently removed from the server. This includes all posts, comments, shares, likes, and any other related activity. This action cannot be undone, so please proceed with caution and ensure that you no longer need the data before making this choice.


Benefits of Archiving

  • Data retention: archiving ensures that no data is permanently lost unless explicitly chosen, providing flexibility to restore users or posts when necessary.

  • Reduced risk of accidental deletion: soft deletes offer an additional safeguard by allowing a review period before permanently deleting users or posts.
