How to archive, restore and permanently delete users, posts and inputs

Learn how to manage users, posts and uploads through archiving, restoring and permanent deletion in Apostle.

When you delete users, posts or inputs in Apostle, they are not immediately removed. Instead, they are first moved to an archived state. This is known as a soft delete and gives you more control and flexibility.

You can choose to restore archived items or permanently delete them if needed.

Archive a user

  1. Go to Members

  2. Click the bin icon to delete the user

  3. Click Yes in the confirmation pop-up

  4. The user will appear in the Archived members tab

Archive a post

  1. Click the bin icon to delete the post

  2. Click Yes in the confirmation pop-up

  3. The post will appear in the Bin tab

Archive an input (upload)

  1. Click the bin icon to delete the input

  2. Click Yes in the confirmation pop-up

  3. The input will appear in the Archived tab

What happens when a user, post or input is archived?

  • Users: The account is locked and no longer accessible, but all related data remains stored.

  • Posts: The post is hidden from the Post & planning overview and appears in the Bin tab. As soon as a post is archived, it immediately becomes unsharable through any of the available share options. If you restore the post, it will reappear in the mobile app and become sharable again through all supported channels, including email and WhatsApp.

  • Inputs: The upload is hidden from the Inspiration wall but remains visible in the Archived tab.


How to restore archived users and posts

Restoring a user or post will reactivate them, making the user’s account or the post visible and functional again.

  1. Navigate to Members, Post & planning or Inspiration Wall

  2. Click on the Archived members tab, Bin tab or Archived tab

  3. Click on the Restore icon

  4. Click Yes in the confirmation pop-up

  5. The user, post or input is now restored


How to permanently delete users, posts and inputs

Permanently deleting a user, post or input from the archive will completely remove all associated data from the system. This action is irreversible and all associated data is deleted.

  1. Navigate to Members, Post & planning or Inspiration Wall

  2. Click on the Archived members tab, Bin tab or Archived tab

  3. Click on the Delete icon

  4. Click Yes in the confirmation pop-up

  5. The user, post or input is now permanently deleted

⚠️Important: Permanent deletion is irreversible. All related data, including posts, comments, shares and likes, will be removed from the server. Only delete if you are sure the data is no longer needed.


Benefits of archiving

  • Data retention: Archived items can be restored at any time unless permanently deleted

  • Reduced risk of accidental deletion: Soft deletes add a review step before permanent removal
