Email only users are team members who interact with Apostle content exclusively through email. They can receive post suggestions, review content, make small edits, and share posts directly from their inbox without needing to log in to the platform or use the mobile app.
This user type is ideal for external partners, clients, or infrequent contributors who should be able to share content without creating a full account.
⚠️ Important: Email only users cannot use the mobile app. They can only share posts via email.
What email only users can do
Reject the post
Reschedule the post
Edit the post text
Share the post
⚠️ Important: Email only users can only share posts to LinkedIn. Sharing to Facebook and Instagram is not supported via email.
How to add email only users
Navigate to Members
Click the Email only users tab
Click the + Add Email user button
Enter the email addresses separated by spaces
Click Add
⚠️ Important: Email only users do not receive an invitation email and cannot create an Apostle account. Be sure to notify them that they have been added and will start receiving posts via email.
How to include email only users in Insights
By default, email only users are excluded from the Insights section since they are often external contacts.
Go to Team Settings
Toggle Show email users in insights on or off
Click Save team
The Insights view will update automatically
Changing email only users to regular users
It is possible to change email only users into regular users. However, there is currently no direct way to convert them within the platform.
You have two options:
Delete the email only user and re-invite them as a regular user through the Members section
Contact Apostle support and we will convert the user for you
Note: We plan to support direct conversion in the future. For now, these are the recommended best practices.
Billing for email only users
Although email only users do not have full accounts or platform access, they are still counted as regular users in your team’s subscription. This only applies to teams on legacy plans with a limited number of users. If your plan includes unlimited users, email only users will not affect your billing.
